This Privacy Policy explains how ServeTogether (operated by Easthill Security and Network Services) collects, uses, and protects information when you use the Service.
ServeTogether is used by churches and religious organizations (each, a “Church”) to coordinate volunteers. The Church is the controller of volunteer information entered into the Service. ServeTogether processes that information on the Church's behalf.
Coordinator account information. When a coordinator signs up, we collect their name, email address, and password (stored as a salted hash, never in plaintext). We also collect their Church's name, location, and time zone.
Volunteer information. When a coordinator adds a volunteer to the Service, we collect the volunteer's name and any contact information the coordinator enters (typically a phone number and/or email). We also store optional information the coordinator chooses to enter, such as background check status and expiration date.
Scheduling and event data. Ministries, services, rotations, slots, assignments, events, and event signups created in the Service.
SMS records. When the Service sends or receives a text message, we log the recipient or sender phone number, the message body, timestamps, and the delivery status reported by our SMS carrier. This log is visible to Coordinators of the associated Church and is used to audit deliverability and honor opt-out requests.
Usage information. Routine server logs, including IP addresses and request paths, for security and reliability monitoring.

We do not sell personal information. We do not use volunteer or coordinator information for advertising or marketing to people outside the Church that entered the information.
The Service can send SMS messages to volunteers about their scheduled service. These messages are sent on behalf of the Church.
Consent. Volunteers consent to receive SMS from their Church when they provide their phone number to the Church's coordinator. The coordinator enters the number into the Service after confirming the volunteer's consent.
Opt-out. A volunteer can opt out at any time by replying STOP (or UNSUBSCRIBE, CANCEL, END, QUIT, STOPALL) to any message. Opt-outs apply across the platform and are recorded immediately. Volunteers can opt back in by replying START.
Carriers. We use Telnyx as our SMS carrier. Telnyx and the recipient's mobile carrier may process messages in the ordinary course of delivery.
No sharing for marketing. Phone numbers and other information collected for SMS purposes are not shared with third parties for marketing or promotional purposes.
We share information only as follows:
We retain information for as long as needed to provide the Service. SMS records are retained for at least 24 months for audit and compliance purposes. When a Church stops using the Service, we delete or anonymize the associated data within a reasonable period, except where retention is required by law.
We use industry-standard measures to protect information, including encryption in transit (HTTPS), encrypted storage at the database layer, row-level security to scope data access to the correct Church, and access controls for administrative actions. No system is perfectly secure; we work to keep ours as close as we can.
Volunteers. If you are a volunteer and want your information removed from the Service, contact your Church's coordinator. You can opt out of SMS at any time by replying STOP.
Coordinators. You can update your own information in the Service's Settings. To delete your account or your Church's account, contact us.
The Service is not directed to children under 13. Coordinators should not enter the phone numbers of children under 13 into the Service. If you believe a child's information has been entered without appropriate consent, contact us and we will remove it.
We may update this Privacy Policy from time to time. If we make material changes, we will notify Coordinators by email or through the Service.
